Q: Why is the South High Marathon Dance conducting background checks?
A: The South High Marathon Dance event has taken place for many decades and has garnered national media attention and a reputation for being a trustworthy cause which has aided hundreds of individuals and organizations within the community who are experiencing hardship. The event has grown into an enormous fundraiser which raises hundreds of thousands of dollars and countless donations of goods and services to further the organization and its beneficiaries. Event organizers and those who play a role in selecting beneficiaries have a duty to ensure the integrity of the name of South High Marathon Dance, including doing their best to be confident in knowing those who are entrusted with certain responsibilities, or requesting services of the organization, are doing so in the best interest of the organization and its mission. The South High Marathon Dance Inc. is committed to ensuring every dollar, good or service which is donated is put to appropriate use to support the cause.
Q: Who will need to have a background check completed?
A: Anyone serving on the Board of Directors or Advisory Board, anyone who will be handling money, all safety/security/medical personnel, room supervision volunteers, and potential recipients, which are not organizations, will be required to undergo a background check.
Q: What is the process for completing the background check?
A: The first step is to complete the “Background Check Authorization Form” and submit it to the South High Marathon Dance Inc. via e-mail at [email protected] The South High Marathon Dance Inc. will then verify you have signed- up for a position which requires a background check. Once verified, your form will be provided to a private company who will complete the background check. By completing and submitting the form, you provide consent to the South High Marathon Dance Inc. and the private company identified by the corporation to complete the background check. When the background check is completed, the South High Marathon Dance Inc. will be notified said check has been completed and if any questionable record has been identified. You will only be contacted if you applied for a position which requires the background check and no form was received, or if your services are not needed in that role.
Q: What if I have concern about the information I provide on the form and send via e-mail being exposed?
A: If you would like to better protect your information, you can password protect the pdf and send the password in a separate e-mail. Q: Is there a specific timeframe in which the form needs to be submitted?
A: Yes. For volunteers, the form can be submitted in January or February, but no later than one full week prior to the annual Marathon Dance event, held the first full weekend in March. If you do not submit the form in time you will not be able to volunteer for a position specified above. For potential recipients, you will be contacted by a representative of the South High Marathon Dance Inc. in January and provided with a deadline in January to submit the necessary paperwork by.
Q: Who conducts the background checks?
A: The South High Marathon Dance Inc. has identified a private company to conduct the background checks.
Q: What type of information will the background check be looking to identify?
A: The background check will be looking to identify records which could be indicative of criminal activity that may lead the corporation or public to question your suitability to serve in a position as identified above.
Q: What happens if during the background check process any derogatory information is discovered?
A: If a questionable record is identified during the background check, South High Marathon Dance Inc. will be notified of the record. The corporation will further consult with the private company which conducted the background check and may also consult with their attorney(s), insurance company, and/or officials of the South Glens Falls Central School District. After review, the corporation shall determine an individual’s suitability for said role.
Q: Does the South High Marathon Dance Inc. retain any information concerning the results of my background check?
A: South High Marathon Dance Inc. shall retain record of said background check for a period of two years after the term for which it is considered valid.
Q: Will I need to have a background check completed annually, only once, or how frequently?
A: Once completed, a background check will be considered valid for two years.
Q: What if I am currently an employee of the South Glens Falls Central School District, will I need a background check?
A: No. Current employees of the South Glens Falls Central School District do not require a background check, as they have one completed as a condition of their employment, which includes notification in the event a concerning record is incurred. Previous employees will require a background check to be completed.
Q: What if I am currently an employee of another school district, will I need a background check?
A: Maybe not. If you are currently employed by another school district, and an administrator (such as Superintendent or Principal) sends an e-mail or letter to us via official e-mail to [email protected] attesting to your current employment then you will be considered exempt. Previous employees will require a background check to be completed.
Q: What if my employer or another organization I’ve volunteered for previously completed a background check on me, will that suffice?
A: No. The South High Marathon Dance Inc. does not have any contracts, agreements, memorandums of understanding, etc. with any other organizations which would enable or require that entity to provide records of said background checks to the South High Marathon Dance.
Q: Can I opt-out of having a background check completed and still volunteer for an indicated position?
A: No. If you do not feel comfortable having a background check completed, you will not be able to serve in a position which requires a background check be completed or become a beneficiary of the corporation.
